Stopping a business or rental income: close the MTD source properly

Stopping a business does not mean you can simply disconnect the bookkeeping software. For someone using Making Tax Digital for Income Tax, closing an income source involves telling HMRC and dealing with the remaining reporting work.
Rules checked: 28 October 2026, UK.
This is general information, not financial or tax advice. Rules change, so check GOV.UK or speak to a qualified adviser.

Identify what has actually ended
HMRC: add or cease income sources distinguishes one source ending from all self-employment and property sources ending. It also says that stopping one UK letting while other UK properties remain let does not end the continuing property business.
Before making a change, list each existing source and ask which one has ceased. A short quiet spell or a missing bank receipt should not be used as a guessed cessation date. Ask an adviser where the underlying facts are uncertain.
Tell HMRC through the appropriate account
The guidance requires the cessation date to be reported through the HMRC online services account or the agent services account by the quarterly update deadline for the period in which the source stopped. Do not assume a status change inside bookkeeping software has completed that account action.
Keep a record of the date reported and any confirmation. Agree who performs the step if an agent acts for you; both parties should know whether it has actually been completed.
Complete the remaining reporting
HMRC distinguishes two cases:
- One source ends: complete its outstanding updates for the period when it was active. Keep digital records and send updates for the sources that continue.
- All self-employment and property sources end: send the final update for the period containing cessation and the MTD tax return for that year. Keep the supporting digital records afterwards.
For example, HMRC says a source that ceased in May 2026 still needs the update due on 7 August 2026. Later quarterly updates for that source stop, but its income still belongs in the 2026–27 annual return. This example concerns a genuinely ceased source, not a month without rent or sales.
Use a closure checklist with separate rows for the account notification, outstanding updates, the annual return and retained records. Put the responsible person and completion evidence beside each row. This is a practical organising method, not an additional HMRC form.
Agree the software exit before cancelling
Ask the software provider how you will retain readable records and access submissions after a subscription ends. Obtain what you need while access still works, and check a sample export opens. Keep correspondence and submission confirmations alongside the records rather than only a closing balance.
Ask your adviser whether any other registrations or reporting obligations need attention. This article covers the MTD income-source process; it does not establish the complete legal or accounting treatment of closing a business.
If you later begin another activity, check the current adding-source guidance instead of reusing an old source without advice. Keep the closure record intact so a future setup can be understood without reconstructing what happened from bank statements.
